Booking Policy

Last updated: 2026

EventMate connects couples with independent venues and service vendors. This policy explains what happens when you send a request and how to read its status.

1. A request is not a confirmed booking

Sending a venue booking request expresses your interest. The booking is only confirmed once the vendor accepts it and any required payment proof is verified. Until then, the date is not held for you.

2. Service requests

A service request (catering, décor, photography, etc.) is not final until the service provider accepts it. Providers can accept or decline based on their availability and your requirements.

3. Payment status

After a booking is accepted, you may be asked to send an advance and upload payment proof. Full payment meanings are described in the Payment Policy.

4. Venue-only booking

You can book a hall on its own and arrange other services separately or later.

5. Venue with attached services

Some venues offer attached services (in-house catering, décor, etc.). These can be requested together with the hall so everything is coordinated under one booking.

6. Separate service booking

Independent services can be requested without a hall — useful if you already have a venue or only need a specific service.

7. Packages & menus

Packages and menus shown are indicative. Final inclusions, per-head rates and totals are confirmed by the vendor for your date and guest count.

8. Availability & double-booking

Dates can be popular and are not reserved until a vendor confirms. To avoid disappointment, confirm your booking and payment early. If a vendor can no longer honour a date, they should notify you promptly.

9. Your next steps

Track every request from your dashboard, reply to vendor messages, and complete any requested payment proof to move a booking from requested to confirmed.
